AMENDED

1.

MISSION STATEMENT

 

 

 

 

 

We believe gospel music is an arm of our Lord's evangelist church, without regard to denomination. Therefore, it is our goal to use all means available to us to praise & spread the name of Jesus Christ through southern Gospel Music.

 

 

2.

PURPOSE

 

 

 

 

 

The association was founded to support the cause of Southern Gospel music in the East Georgia-West South Carolina area surrounding Augusta, GA. Our purpose is to build & promote our music, its people & its ministries.  We share a membership consisting of groups, soloist, & supporters. Each member group is a semi-professional ministry team that dedicates its talent to showing lost souls the way to life more abundantly through Jesus Christ.  We stress the appreciation of good Christian living, harmony, presentation, diction, & expression that is Southern Gospel Music.  Our respect & thanks goes to the history & talent of the full time professional ranks.  Our goal is to help the part time groups of this association to be the best they can for Jesus Christ. It is not about us, it is all about Jesus.

MEMBERSHIP TYPES

 

 

 

 

 

Membership for the CSRA SGMA will consist of  three (3) types:

 

A.

Groups (2 or more).

 

B.

Soloist

 

C.

Non-performing Members:

1.    Fans

2.    Supporters. Defined as churches & pastors, people in promotions, advertising, radio or other support.

 

 

4.

MEMBERSHIP REQUIREMENTS

 

 

 

 

A.

The Board of the association may make requirements as they deem necessary & advisable for the qualifications of any persons as members of the association.

 

 

B.

Applications

Those desiring to be member of our association are asked to submit an application form & a recommendation from a current association member.  Once interviewed & approved by the board, they will be presented to the rest of the association at our next meeting for membership. They will receive a copy of the Associational By-Laws.

 

 

C.

Qualifications for membership: 

1.    Membership is restricted to Southern Gospel Music “styles” only. Association members while participating in the association singing events should sing Southern Gospel Music exclusively.

2.    Members must be an active, organized, traveling music ministry.

 

 

D.

Membership Restrictions:

Association members must be one of the defined types as outlined in Section 3.  A membership in more than one type is not allowed.

 

 

E.

Inactive List:

Members on the “Inactive List” may be brought back into the association & participate in future sings when they meet the requirements in Section 13.

 

 

5.

BOARD OF DIRECTORS

 

 

 

 

A.

The governing body of the association shall consist of a Board of Directors of five (5) members whose powers & duties shall be defined by the By-Laws of the association. The Board will consist of performing members only with a minimum of three groups as defined in Section 3 – a.

 

 

B.

The Board of Directors shall regulate & supervise the management & operation of the association. It shall attend to all internal affairs & shall make arrangements for carrying on the business as it deems best in compliance with these By-Laws. The Board will report all decisions to the association at the association’s meetings.

 

 

6.

BOARD OFFICERS*

 

 

 

 

 

There shall be Board officers as follows:

 

A.

President (non-voting, except to break ties)

 

B.

Vice President

 

C.

Treasurer

 

D.

Secretary

* One of the five members would not be an officer.

 

 

7.

BOARD MEMBERS

 

 

 

 

A.

The board members shall be selected at the annual meeting of the membership by popular vote of those present for a term of two (2) years & upon election & qualification shall continue in office until their successors have been elected & qualified. Three (3) of the members shall be elected in the odd years & two (2) in the even years. This allows for a rotation to be established whereby the entire board will not change every election.

 

 

B.

Members Defined:

1.    Group Members are represented by the individual elected & this person will attend the board meetings for the whole group although other members may attend. During Board meetings, this board member carries one (1) vote for the entire group.

2.    Soloist Members represent themselves.

 

 

C.

Qualifications for Board Members: 

Only performing members may be a board member of the association & must be:

1.    Twenty-One (21) years of age or above.

2.    They must be a member of the association for at least one (1) year.

3.    Regular in attendance at least one meeting a quarter to the best of their ability.

4.    In good standing with the association, defined as a trustworthy, dependable person of his word that practices moderation, temperance & self-control in behavior & activities.

5.    Able to accept the responsibility of managing the business of the association.

6.    Able to assume the role of spiritual leadership & servitude. (Conflict resolution, etc.)

 

 

D.

Membership Restrictions:

1.    Only one member of a group, as outlined in Section 3 – a., may serve on the board at one time.

2.    There is no limitation on the re-election of directors from year to year.

 

 

E.

Board Vacancy:

If for any reason the office of any board member shall become vacant before the expiration of their term, the Board of Directors shall schedule an election for a successor to fill the unexpired term or, determine the position will remain vacant until the next annual election meeting.

 

 

F.

Removal:

Any Board Member may be removed upon the grounds of justifiable reasons by a majority vote of the Board of Directors. If dissatisfied with the Board's decision, the issue may be appealed to the association for final disposition of the matter.

 

 

8.

BOARD ELECTIONS

 

 

 

 

A.

The annual election meeting of the association shall be held on the third (3rd) Thursday of April of each year. The meeting place will vary.

 

 

B.

The Vice President will hold the President’s election in the even years or if the President position becomes vacant.

 

 

C.

Absentee ballots will be accepted from members under medical confinement or in cases of emergency or at the approval of the Board of Directors.

 

 

9.

ASSOCIATION MEETINGS

 

 

 

 

A.

The regular meetings of the association shall be held on the third (3rd) Thursday of each month at 7:30 PM. The meeting place will vary. The events, as outlined in Section 11, will count as a meeting for that month. 

 

 

B.

Attendance will be recorded.

 

 

C.

Business will be discussed at the meetings & votes taken to ensure the majority voice is carried.

 

 

D.

Voting:

1.    During regular meetings, each member has one (1) vote that conveys the soloist or entire group’s position.

2.    Non-performing members are non-voting but will always be allowed to address the meetings.

3.    Members who are not present will not be counted as casting a vote.

 

 

10.

FINANCES

 

 

 

 

A.

Offerings:

An offering will be received at all meetings & events to defray expenses of the association. Fund raisers may be planned for expenses if needed.

 

 

B.

Dues Requirements:

Annual dues shall be due to the treasurer of the association by the last day of March. The dues are to be submitted with the Annual Dues Form in Section 16.C.

1.    Dues are as follows:

a.    Groups, four (4) or more………  $50.00

b.    Groups, two (2) or Three (3)….. $35.00

c.    Soloists………………………….. $25.00

d.    Fans………………………………$5.00

e.    Supporters………………………. $0.00

2.    Mid-year joining dues will be prorated from the time joined to the annual dues (March) are due.

3.    Refunded dues will be prorated from the time paid to the present.

4.    In submitting dues, understand that these dues are a privilege & do not entitle any “mandatory rights” within our association.

5.    If dues are not paid by April 30th, the member will be transferred to the “Inactive List.”

 

 

C.

Fees:

Everyone that performs on a singing event must pay $10 for the weekend to repay debt for the sound equipment.

 

 

D.

Debt:

The association will make repayment of all debt a first priority.

 

 

11.

ASSOCIATION SCHEDULE/ EVENTS

 

 

 

 

A.

Annual Association Meeting/Election:

April on the third (3rd) Thursday of the month. Location will be determined.

 

 

B.

Regular Association Meetings:

February, March, June, July, & August, on the third (3rd) Thursday of the month. Locations will be determined.

 

 

C.

Singing Events:

1.    Winter Singing Convention, January on the third (3rd) weekend of the month. Location will be determined.

2.    Spring Singing Convention, May on the third (3rd) weekend of the month. Location will be determined.

3.    Fall Singing Convention, September on the third (3rd) weekend of the month. Location will be determined.

4.     TV Southern Gospel Night, November with date to be determined.

 

 

D.

Fellowship Events:

1.    Post Election Party, April- on the third (3rd) Thursday of the month. Location will be determined.

2.    Annual Picnic, October- on the third (3rd) Saturday of the month. Location will be determined.

3.    Christmas Party, - on the first (1st) Saturday of the month. Location will be determined.

 

 

12.

ASSOCIATION SINGINGS

 

 

 

 

A.

Scheduling:

1.    See Section 13 & Section 10.

2.    The month prior to the event, the participants will be designated. Sign up must be in person by a member to be included on the program.  If unable to attend, a member of a group or a soloist needs to notify a board member to be included

3.    The sign-up sheet will be broken down into increments for soloist time slots & groups time slots. The schedule will be set once all participants for each night are established.

4.    A member of a group or a soloist needs to call a board member as soon as possible if a cancellation is necessary in your time slot at an associational sing.

5.    If time slots become available due to cancellations, no shows, or late arrival, the President or Vice President, at his discretion, may fill the remaining time slots.

 

 

B.

Sound System:

1.    The following association equipment will be provided for your use for the duration of the event: 

a.    Mixing Console via use of the associations' snake, w/4 microphones available.

b.    CD players

2.    Primary equipment to be used during the sings must be set up at least two (2) hours prior to the start of the sing for sound checks to begin. If possible setup can be earlier in that day or the night before as the venue will allow. Request maximum use of this equipment to help minimize confusion.

3.    If a group wants to setup their equipment, it is acceptable but the same time conditions apply.

4.    Any special equipment a group needs to support their singing will be set up, connected, & tested out up to one (1) hours before the event starts that day. No other equipment can be set up during the course of the sing.

 

 

C.

Operations:

1.    All members who are scheduled to sing at the associational sing must show up for prayer fifteen (15) minutes prior to the beginning of the sing.

2.    All scheduled singers that want a sound check may do so starting at least one hour prior to the beginning of the sing.  Sound checks will stop 15 minutes before start time for prayer.

3.    If you are signed up to sing, be prepared in case your time slot is moved up earlier.  If this happens & you miss your time, the sequence will continue on & you will be added back in at the end.

4.    An electric lighting device will indicate your remaining time.  A yellow light indicates 5 minutes left. A red light indicates STOP at the conclusion of the song you are singing.

 

 

D.

Time Slots:

Event time slots are yours to fill. Singing & talking are all included in your time slot. These time limits are firm & will be strictly enforced. Slots are as follows:

1.    25 Minutes:  Groups – Three (3) or more.

2.    20 Minutes:  Groups – Two (2).

3.    15 Minutes:  Soloists

4.    At “choir” style events, all members are not guaranteed to have an individual time slot.

           

 

E.

Dress Code:

1. Inside sings are to be Sunday dress.

2. Outside sings are to be dressy casual.

 

 

13.

PARTICIPATION REQUIREMENTS

 

 

 

 

A.

Each member understands that a part of membership into the association is the understanding that the regular meetings are of the utmost importance & agree to have someone present as often as possible.

 

 

B.

All members must attend regular meetings once a quarter in order to be able to sing at associational singing events.

 

 

C.

If a member misses two (2) meetings in a quarter, without calling, they will not be able to sing at events until they have attended a regular meeting.

 

 

D.

If a member has no contact with the association for six (6) months, the member will be transferred to the “Inactive List.”

 

 

E.

Association members understand that as a member they should support the associational sings.  This means that even if they are not scheduled to sing, they should make every effort to attend to support their follow members.

 

 

F.

People who are not members of the association will not be allowed to sing with members unless approved by the Board.

 

 

14.

CONCESSION STAND

 

 

 

 

 

The concession stand will be handled by the association unless agreed to allow the host church/venue to handle it.  All members who are singing must help in the running of the concession.  A signup sheet will be established for each member to pick a time they would like to serve. The Board will be responsible for selecting the menu & posting of prices. There is no requirement that every event have a concession stand.

 

 

15.

AMENDMENTS

 

 

These By-Laws may be altered or amended & additional By-Laws adopted by the majority vote of the membership of the Corporation at its annual meeting of the members or at any special meeting of members by a two-thirds (2/3) vote of the membership.
